Who You Are
The R&D Administrative Assistant provides clerical, data entry, lab inventory, and documentation support to the Research & Development team. This role ensures accurate record keeping, sample logging, ingredient inventory tracking, and organization of lab documentation to support efficient product development operations.

Responsibilities
What You Will Do
Lab Documentation & Data EntryTranscribe formulas provided by management and upload to Zoho and SharePoint. Maintain Daily Logs and Lab Library documentation. Perform updates to process control documents as directed. Enter lab sample logs into Excel to maintain freezer inventory tracking. Scan and file digital and physical paperwork (by customer, category, and project type).
Create and print product labels for lab-made samples. Maintain freezer organization, including purging expired or approved-for-disposal items. Receive ingredient samples; label, log, and organize by category. Monitor ingredient expiration dates and notify management of expired materials. Maintain organized ingredient storage (dry, refrigerated, freezer).
Take and archive photos of lab samples and sales-requested products. Maintain organized photo library for reference. Rename and file digital records consistently across systems.
Assist in setup and implementation of new systems and data entry testing. Support revisions of processes to optimize technological systems. Maintain office and lab administrative supplies. - Support weekly administrative reporting as requested.
Skills & Qualifications
What You Need to Be Successful
- Ability to work in an environment with food allergens of all types.
- 2 years of clerical or administrative experience in manufacturing, food production, or laboratory setting.
- Strong Microsoft Office skills (Word, Excel, Outlook).
- Ability to lift up to 50 pounds.
- Tolerance for exposure to varying temperatures, including cold storage/freezer environments.
- Strong data entry accuracy and attention to detail.
- Frequent standing and walking within the lab, freezer, refrigeration units, and storage areas.
- Ability to manage shifting priorities in a fast-paced environment.
- Strong organizational and time management skills.
